Getting Started Guide

Follow these simple steps to set up PropertyDesk and start managing your property like a pro.

Download & Install

Download PropertyDesk from the Apple App Store (iOS) or Google Play Store (Android). The app is free to download and comes with a 14-day free trial.

  • Search for "PropertyDesk" or "Property Desk Manager" on your app store
  • Tap Install/Get and wait for the download to complete
  • Open the app to begin setup

Create Account & Verify Email

Create your account using your email address and phone number. You'll need to verify your email before you can proceed.

  • Enter your full name, email, phone number, and create a password
  • Your phone number is checked for duplicates to prevent multiple accounts
  • Check your inbox for a verification email and click the link to verify
  • Return to the app and log in with your credentials

Property Setup

Set up your property details during the onboarding process. This information appears on invoices and helps with GST compliance.

  • Enter your property name, address, city, state, and PIN code
  • Add your property phone number
  • If GST registered, enter your GSTIN and business name
  • Configure which modules you want to enable (food, extras, etc.)

Add Your Rooms

Add each room in your property with its type, number, and pricing. You can always add or edit rooms later.

  • Go to the Rooms tab from the bottom navigation
  • Tap the "+" button to add a new room
  • Enter the room number/name, type (Deluxe, Standard, Suite, etc.)
  • Set the base price per night
  • Add as many rooms as your property has

Configure Food & Extras Menu

If your property offers food or extra services, set up your menu so you can easily add orders to guest bookings.

  • Go to More tab > Menu Management
  • Add food items with name, price, and category
  • Add extras like laundry, bonfire, activities, spa, etc.
  • GST is automatically applied (5% for food, 18% for extras)
  • You can edit or remove items at any time

Create Your First Booking

Now you're ready to create bookings! The app walks you through each step of the booking process.

  • Go to the Bookings tab and tap "+" to create a new booking
  • Select the guest (or create a new guest profile)
  • Choose check-in and check-out dates
  • Select one or more available rooms (overlap detection is automatic)
  • The app calculates the total with GST based on tariff slabs
  • Apply any discounts and record advance payments
  • Select the booking source (Walk-in, Phone, OTA, WhatsApp, etc.)
  • Confirm to create the booking

Check-in, Food Orders & Payments

Manage the guest's stay with check-in, food/extras ordering, and payment recording — all from the booking details screen.

  • Open a booking and tap "Check In" when the guest arrives
  • Add food and extras orders during the stay with date tracking
  • Record payments as they happen (cash, UPI, card, bank transfer)
  • The balance updates automatically with each payment
  • View all orders and payments in the booking details

Checkout & Invoice

When the guest is ready to leave, complete the checkout process and generate a professional GST invoice.

  • Open the booking and tap "Check Out"
  • Review the checkout summary: room charges, food, extras, GST breakdowns
  • Record any final payments to clear the balance
  • Generate a PDF invoice with complete GST details
  • Share the invoice via WhatsApp or Email directly from the app

View Reports

Track your property's performance with built-in reports and analytics.

  • Access reports from the Dashboard or More tab
  • View revenue reports with custom date ranges
  • Check occupancy rates and trends
  • Analyze booking sources to understand where guests come from
  • Review payment method distributions
  • Generate GST collection summaries for filing

Settings & Advanced Features

Customize PropertyDesk to match your workflow with these advanced settings.

  • Biometric Lock: Enable Face ID/Touch ID from More > Settings for extra security
  • Seasonal Pricing: Set date-range pricing rules for peak/off-peak seasons
  • Room Blocking: Block rooms for maintenance or renovation with reason and date range
  • Calendar View: Use the 7-day calendar grid (More > Calendar) for a visual overview
  • Notification Templates: Customize WhatsApp/Email/SMS booking confirmation messages
